ARIES Frequently Asked Questions
 

Can we make changes and addition to the ARIES database fields?
It should be noted that ARIES has been built to allow certain fields to be created by the user such as the agency sub service fields. Although, in general the answer is no there fields cannot be changed. In order to do so this would require the state to pay for those changes, which can only be created by the developer of the database system.



Under the contact information screen, can the county default to Bexar and the geographical area default to San Antonio?
These fields cannot be defaulted.



Can we modify/specialize the order and content of the intake screens?
The ARIES intake screen cannot be modified unless the Department of State and Health Services chooses to make these changes. In order for them to make changes to the system they must purchase the changes from developer of ARIES.



How do we run a report that will show the unduplicated count?
Please refer to the clients area in the reports section. There you will locate a report called, “4826 - Total Unduplicated Clients”. You may also use the cross tab wizard to perform this report. Although, before utilizing this cross tab wizard report tool please familiarize yourself with the operational parameters of the cross tab wizard in the user manual.



Are we allowed to perform mass service delivery entry?
Users are not allowed to perform mass service delivery entry. Each service delivery must be entered individually.



Can I make up a mothers maiden name?
No. Please do not enter false information into ARIES.



What is the difference between delete and deactivation?
Within ARIES there is no delete feature per say. There is how ever a deactivation feature. This deactivation feature remove the record from be accessed and viewed by users. Although, please keep in mind that it doesn’t remove the record permanently from the system. The record is actually still stored behind the seconds and can be viewed by the Department of State and Health Services.



Where do you enter the information for current weight, usual weight, and hospital of choice?
It appears that this was an error. These fields are not available to add information to them.



What is the correct procedure to enter Insurance co- pays for medications and/or ambulatory outpatient medical care?
Please refer to handout labeled "Reporting of Health Insurance payments in ARIES. This handout describes how to report this information in ARIES based on the whether the services is funded by CARE-HIPP or State Services.



If I’m entering a service unit (co-payment) for State Services-Insurance (State Services funds) it says not to report the co-payment amount in the CARE/HIPP co-payment field box, but there is another field box, which says client payment. Do I enter the payment amount in the client payment field box when I’m using State Services funds?
Yes.



Can we get notified (by email, etc) when ARIES is going to be down?
Yes, Bexar County will notify you when the Aries system will be down. This information comes from the State and is often delayed. We will do our very best to keep you informed.
